Women in Tech Sweden is a non-profit organization supported by some of Sweden's largest and most influential companies who share their mission to inspire more women to choose and stay in the tech industry. The organization's main goal is to create a more inclusive and diverse environment where women can thrive, grow, and contribute to innovation in the technology sector.
The annual Women in Tech conference is their most prominent event. The conference brings together women from around the world in technology and related fields to share knowledge, experiences, and inspiration. It provides a forum for discussions on current topics in the tech world, including leadership, entrepreneurship, innovation, and industry trends. During the conference, participants also have the opportunity to take part in various workshops, panel discussions, and networking sessions. The event is a platform where female talents can be seen and recognized for their contributions to the tech community. Additionally, it serves as a catalyst for creating new collaborations and partnerships between women and organizations in the tech sector. By highlighting and promoting women in technology, Women in Tech contributes to building a more inclusive and innovative future for the tech industry. Through their commitment to creating equal opportunities and representation, they contribute to changing the landscape of the tech world.
An event of Women in Tech's caliber poses high demands. The organizer faced a few challenges that needed to be addressed, including:
Through innovative solutions, Trippus was able to gather expressions of interest during the major ticket release when the organizer chose to communicate with their dedicated followers. Additionally, a solution was required for a seamless and digital waiting list to manage all the interested people who didn't receive a ticket. On-site, Trippus was responsible for smooth check-in and printing of personalized name badges for participants. In addition, exhibitors gathered leads and contact information from interested visitors using the "Trippus Lead Scanning" service. The service simplifies lead collection and follow-up work as exhibitors can mark areas of interest and write their own notes on each lead.
Over 7,000 tech-interested women expressed their interest in obtaining the coveted 2,500 tickets for Women in Tech. By creating stylish registration forms, the organizer was able to collect registrations during their ticket release.
Unfortunately, not everyone who expressed interest in attending got the opportunity to go to the Waterfront in Stockholm where the conference was held. However, they got a second chance by being placed in a digital waiting list. Typically, the waiting list in Trippus is used to send emails to the next person in line, allowing that individual to choose whether to accept or decline before moving on to the next person. In this case, tickets were randomly allocated to those on the waiting list every Friday in a so-called "mini-raffle."
A very popular service that many organizers have noticed is our clever service called Print on Demand. When participants scan their entrance ticket, their personalized name badge is printed out - seamlessly, giving a professional impression. The name badges can also be customized according to the organizer's preferences, which the customer chose to do themselves.
To maximize networking opportunities between exhibitors and visitors, we implemented our solution Trippus Lead Scanning. By using their mobile phones, exhibitors could easily collect contact information from participants by scanning the QR code on their name badges. Exhibitors could also create their own areas of interest for their services and staff. When scanning a participant's badge, they could easily check the areas of interest relevant to each visitor. Additionally, they were offered the opportunity to write their own notes on the customer cards to simplify follow-up work and give a more professional impression after the conference.
